Full-Time Front Office Client Intake Specialist 

We are accepting resumes for Full-Time Front Office Client intake Specialist at our Roseville Office for our HR Databank. 

As the first point of contact for our firm, the Client Intake Specialist must present a professional, empathetic, and competent demeanor. This role requires the ability to put clients at ease and quickly establish trust through a solid work ethic. The ideal candidate will be a good listener, an excellent communicator, possess impeccable attention to detail, and be enthusiastic about working with new people daily.

Job Responsibilities:

  • Welcome guests and clients by greeting them in person or on the telephone, answering or directing inquiries.
  • Manage consult scheduling, intake, and client retention.
  • Sort and distribute mail.
  • Open and close client files.
  • Copy, file, and scan documents.
  • Speak with each prospective client or visitor to determine if they can be assisted and provide information and referrals as appropriate.
  • Maintain up-to-date knowledge of office priorities and intake procedures.
  • Assist and support lawyers and paralegals with their work as needed.
  • Enhance attorney effectiveness by providing information-management support and representing the attorney to clients and others.
  • Conduct preliminary intake or screening interviews, including preparation of appropriate forms and documenting communication and information regarding each client.

Experience and Qualifications:

  • 1+ years of previous experience with a law firm intake or in another relevant role is preferred.
  • Excellent written and oral communication skills.
  • Comfortable using a computer and learning/adapting to new technology.
  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Office, especially Excel (training available).
  • Experience with Mycase and Lawmatics software programs is preferred (training available).
  • Ability to multi-task and switch from one task to another quickly and efficiently.
  • Bilingual in Spanish is a big plus.
  • Flexible, adaptable to change, and able to prioritize workload and deadlines.
